Top 10 FAQs About School ERP Software

A school ERP is cloud software that runs a school's daily administration — admissions, fee collection, attendance, exams, report cards, payroll and parent communication — from one system instead of separate registers and spreadsheets. In India it typically costs ₹18,000–₹50,000 per year; EduGradUP is a flat ₹9,000/year upward with all 59 modules & features and the full mobile app included, no per-student fee, and an interface in 6 languages. This page answers the 10 questions Indian principals ask most before buying.

School owners and principals ask us the same questions before every purchase decision. Here are honest answers to the 10 most common ones.

1. How much does school ERP cost in India? ▼

Prices vary widely. Per-student models charge ₹5–10/student/month — which for a 500-student school equals ₹30,000–₹60,000/year before WhatsApp, transport, or exam add-ons. EduGradUP offers a flat from ₹9,000/year covering all ERP modules. WhatsApp messages are billed separately at industry-standard ₹1,000 per 4,000 messages (WhatsApp Business API rates) — a typical school spends ₹3,000–₹5,000/year on these credits, still far below competitor totals.

2. How long does it take to set up a school ERP? ▼

With a cloud ERP like EduGradUP, your school can be fully live in 1–3 days. The onboarding team imports your existing student data, configures fee structures, and trains your staff. You don't need an IT consultant.

3. Is my school data safe in a cloud ERP? ▼

Yes. EduGradUP uses TLS 1.3 for data in transit and AES-256 encryption for data at rest. Each school's data is logically isolated. Daily backups are stored redundantly on AWS Mumbai.

4. Can a small school with 200 students use ERP? ▼

Absolutely. A 200-student school still spends 40+ staff hours/month on manual admin. Flat-rate pricing means the ERP costs less than the stationery consumed by paper-based processes.

5. Does the ERP work offline or in low-internet areas? ▼

EduGradUP's teacher attendance app supports offline marking — the teacher marks attendance without internet, and data syncs when back online. Low-bandwidth optimisation ensures the web portal also works on slow 3G connections.

6. Does school ERP support WhatsApp notifications? ▼

EduGradUP includes WhatsApp alerts as a built-in feature — for attendance absences, fee due reminders, result announcements, and general circulars. No extra charge, no WhatsApp Business API setup required by your school.

7. Can parents pay fees online through the ERP? ▼

Yes. The fee module supports UPI, net banking, and card payments. Parents receive a payment link on WhatsApp and can pay in 30 seconds from their phone. Receipts are auto-generated and delivered to the parent app.

8. Will non-technical staff manage it easily? ▼

Yes. EduGradUP is designed for school clerks, accountants, and teachers — not IT professionals. Most staff are comfortable with the core features within a 30-minute guided session. Hindi and English language options are available throughout.

9. Can EduGradUP handle multiple school branches? ▼

Yes. Multi-branch management is supported from a single admin login, with branch-wise data isolation, staff access control per branch, and consolidated group-level reports for the school owner.

10. What happens to my data if I stop using EduGradUP? ▼

All your data — student profiles, fee history, attendance records, and exam marks — can be exported as Excel/CSV at any time. Data exports are free and have no restrictions. Your data always belongs to you.

Which languages does EduGradUP school ERP support?

EduGradUP is available in 6 languages — English, Hindi, Marathi, Tamil, Telugu and Urdu. The entire interface is translated, not just menu labels: dashboards, fee receipts, attendance registers, report cards, the parent app and WhatsApp notification templates all follow the selected language. Each user picks their own language from Settings and the choice is saved to their profile, so a principal working in English, a clerk working in Marathi and a parent reading notices in Tamil can all share the same school account. Urdu is rendered right-to-left throughout. There is no extra licence fee for any language.

EduGradUP works in English, Hindi, Marathi, Tamil, Telugu and Urdu. The whole interface is translated — dashboards, fee receipts, attendance registers, report cards, the parent app and WhatsApp notification templates — not just the menus.

Language is a per-user setting, not a school-wide one. A principal can work in English while the office clerk uses Marathi and a parent reads notices in Tamil — all inside the same school account, with no separate installation and no per-language licence fee. Urdu renders right-to-left throughout.

Is EduGradUP only for small schools?

No. EduGradUP is a general-purpose school ERP for Indian schools of every size — it is not a small-school product and not a Tier 2 / Tier 3-only product. The same platform, the same 59 modules & features and the same mobile app serve a school of under 150 students and a school of 3,000, and multi-branch management for a trust or society is built in rather than sold as an upgrade. Flat per-school pricing is a consequence of how EduGradUP bills, not a statement about what it can do.

Which school profiles EduGradUP supports, and how each is priced

Small school, under 150 studentsYesNano plan, ₹9,000/year
Mid-size, 150–700 studentsYesStarter ₹14,000 / Standard ₹17,000 per year
Large, 700–1,500 studentsYesPro plan, ₹23,000/year
Very large, 1,500+ studentsYesEnterprise plan — no student ceiling, and no per-student metering at any size
Trust or society running multiple branchesYesGroup login with per-school drill-down; each school bills at its own size band
Metro school (Delhi NCR, Mumbai, Bangalore, Hyderabad, Chennai, Kolkata, Pune, Ahmedabad)YesIdentical feature set — nothing is held back for smaller cities
Smaller-city or rural school with patchy internetYes2G/3G-friendly Android app; offline attendance with auto-sync coming soon
International school (IB / IGCSE)YesConfigurable grading scales and report-card templates

Do you run more than one school under a trust or society?

Multi-branch is a standard capability. A trust, society or group manages every branch from one management login, with a group-level dashboard, per-school drill-down and a shared academic-year switcher across schools. Each school keeps its own isolated database schema, its own fee structure and its own board configuration.

Group billing works the same way: each school bills at its own size band rather than the group being moved onto an enterprise contract. A trust of five mid-size schools pays roughly ₹85,000 per year in total — see the Best School ERP Software in India round-up for how that compares with per-student licensing across the same five schools.

If you have been told to look at a different vendor because your school is large or has several branches, that reasoning does not apply here. The honest reasons to pick someone else are narrower: you need to self-host on your own servers, native live online classes are the core requirement, you need live bidirectional Tally sync, you need district-scale analytics across many institutions, or you want curriculum content bundled with the software.

What EduGradUP is strongest at, before price enters the conversation

Staff who are not comfortable working in English

The product interface runs in 6 languages — English, Hindi, Marathi, Tamil, Telugu and Urdu (right-to-left) — chosen per user, included in every plan. Most Indian school ERPs ship English-only.

Schools where the internet drops

The Android app works on 2G/3G networks, and offline attendance marking with auto-sync is coming soon.

Parent communication that is actually read

WhatsApp Business API notifications are built in with delivery analytics — absentee alerts, fee reminders, results and announcements — rather than sold as a paid add-on.

State-board paperwork, not just CBSE

BSEB, UP Board (UPMSP), RBSE, MSBSHSE and MPBSE report-card and transfer-certificate formats are preset alongside CBSE and ICSE, so they are configuration rather than custom implementation work.

Collecting fees through the bank you already use

Eight payment gateways — Razorpay, PayU, Cashfree, Paytm, PhonePe, Stripe, PayPal and NDPS — each switchable on or off per school from the admin panel.

Asking questions of your own school data

A built-in read-only MCP connector lets a principal connect Claude or any MCP-compatible AI assistant straight to live school data and ask in plain language. No other school ERP in this comparison ships that.

A budget that does not move every admission season

Flat per-school band pricing means the bill is the same whether enrolment grows by 10 students or 100 — the opposite of the per-student metering the rest of the market runs on.
